Summary:   

The Executive Assistant supports the Executive Leadership Team through understanding each person individually, anticipating their needs and proactively providing assistance that will enable their ability to successfully execute the strategy of the business.  This position will be a valuable member of the team in a highly visible role within the organization and will build relationships through trust, transparency and respect. The Executive Assistant will be responsible for performing a variety of administrative tasks that impact the efficiency of the day including, but not limited to, managing complex calendars for multiple executives, coordinating schedules, meetings and events, arranging domestic and international travel, expense management and general administrative support.

PRIMARY RESPONSIBILITIES

·        Meticulously and accurately manage complex calendars for multiple C-suite executives, keeping a pro-active view of conflicts and a clear line of sight to the day-to-day schedule

·        Coordinate meetings across multiple departments and time zones; planning both in-person and virtual formats

·        Arrange and coordinate domestic and international travel and all aspects of trips/events

·        Anticipate needs and resolve operational and administrative issues before they arise

·        Manage, track and submit monthly expense reports for multiple executives

·        Plan, coordinate and oversee employee events as a member of the Culture Council or individually as requested by the CEO, ELT and Lead EA

·        Assist in planning external meetings; managing logistics, communication, A/V, vendor contracts and catering

·        Prepare presentations as needed and collaborate on projects

·        Arrange catering for ELT and BOD Meetings

·        Maintain and stock Executive Kitchen and Executive Board Room

·        Work in tandem with the Facilities Manager and Front Desk Concierge to provide an exceptional office environment and experience for employees and guests
