We caught up with Haley McRady, Managing Director, Accounting Center of Excellence at HCA Healthcare and Cheryl Levesque, Partner at Forvis Mazars, to learn more about how Trintech and Forvis Mazars were able to work together to automate reconciliations, standardize global processes, and provide valuable operational insights.
Before Trintech: A 20-Year-Old Homegrown Tool & Heavy Manual Effort
Interviewer: Haley, could you start by introducing yourself?
Haley: I’m Haley McRady, Managing Director at HCA Healthcare on our Accounting Center of Excellence team. HCA operates over 2,000 sites of care across 20 U.S. states and the U.K., and our team focuses on centralizing and standardizing accounting practices.
Interviewer: And Cheryl, would you like to introduce yourself as well?
Cheryl: Hi, I’m Cheryl Levesque. I’m a partner at Forvis Mazars, where I lead our Performance and Process Improvement Services vertical; within that role, I manage our partnership with Trintech. Forvis Mazars is a top ten public accounting firm, focusing on tax, advisory, consulting, audit, and assurance services worldwide.
Interviewer: What are the challenges that led HCA Healthcare to evaluate a new reconciliation solution?
Haley: Historically, we used a reconciliation tool that was homegrown and more than 20 years old. It was built by brilliant people—but we’re a healthcare company, not a software company. The tool wasn’t designed for our hospitals’ needs and required extensive manual work to keep it functioning and relevant.
What we really needed was a modern solution that would:
- Allow flexible customization without heavy lift
- Reduce manual effort
- Support enterprise-wide standardization
- Scale across thousands of accounts and users
One of our related HCA entities had already used Trintech successfully for more than 14 years, which reinforced our confidence that the platform could meet our needs.
Why Trintech & Forvis Mazars: Flexibility, Expertise & a “Do It Right from Day One” Mindset
Interviewer: What made Trintech and Forvis Mazars the right partners for this project?
Haley: Trintech’s user-friendliness and configurability stood out immediately. But we also knew the implementation needed to be done right—and done right the first time. Forvis Mazars brought deep expertise in both process design and Trintech’s platforms. They helped us evaluate our needs, understand best practices, and design an environment that would support long-term success. Their partnership has been instrumental in shaping a solution we can build on.
Implementation: A Three-Way Partnership Built on Best Practices
Forvis Mazars’ Role: Leading System Implementation & Providing Strategic Guidance
Q: Interviewer: Cheryl, can you describe your role in the implementation and how you collaborated with Trintech and HCA Healthcare?
Cheryl: As the primary system implementer, our team led HCA Healthcare’s deployment of Trintech’s platform. We guided HCA Healthcare through design sessions, data gathering, process reviews, and environment setup—always ensuring the solution aligned to best practices and would scale across a highly complex organization.
We also implemented Dynamic Account Maintenance (DAM)—one of our favorite Trintech capabilities—which required thoughtful role design and rule strategy to maximize automation.
Beyond configuration, we helped HCA Healthcare determine where standardization made sense (templates, thresholds, risk methodologies) and built Power BI dashboards to give leadership richer insight than native reporting alone.
One Integrated Team: Technology + Implementation + Client Expertise
Interviewer: Haley, what was your experience working with both organizations?
Haley: Honestly, at first I didn’t even realize they were two separate teams—it felt like one unified implementation group. Their collaboration was seamless, and both teams worked together to understand HCA Healthcare’s business, our goals, and our accounting models.
Forvis Mazars brought forward ideas and capabilities we wouldn’t have thought of on our own—especially DAM rules and several small but impactful configuration suggestions. Their involvement dramatically improved the quality of our implementation.
Early Benefits: Automation, Standardization & Actionable Visibility
Q: How is HCA Healthcare using Trintech today, and what benefits have emerged so far?
Haley: Though we’re only at the start of our journey, early benefits have included:
- Meaningful Auto-Reconciliation through DAM Rules
Dynamic Account Maintenance has already eliminated large amounts of manual work.
2. Standardized Templates Drive Accuracy & Consistency
Shared formats ensure each account type follows best-practice logic.
3. Power BI Reporting Enables Deep Operational Insight
We can now monitor:
- Rejection trends
- Accuracy of completed reconciliations
- User-specific exception patterns
This visibility helps us focus not just on completion, but on quality.
Partnership & Support: A Truly Collaborative Ecosystem
Interviewer: Cheryl, what differentiates Trintech as a technology partner?
Cheryl: Trintech operates with a deeply partner-centric mindset. They involve us early and often, ensuring every client receives the best combination of technology, process design, and industry expertise.
They’re committed not only to deploying software, but to ensuring customers don’t simply automate bad processes—they transform them.
Interviewer: Haley, how would you describe the partnership from your perspective?
Haley: The partnership between Trintech and Forvis Mazars has been essential. Trintech brings the platform. Forvis Mazars brings the implementation expertise and process guidance. Together they made this rollout far more successful than it would have been otherwise.
They don’t just hand you a product—they help you shape it into something truly effective for your business.
Advice for Other Organizations: Start Now, Don’t Wait
Interviewer: What advice would you give to organizations considering automation?
Haley: If you’re looking to standardize, improve efficiency, or reduce manual work, Trintech and Forvis Mazars offer tremendous value. And once you start seeing what other companies automate—50% of reconciliations automated, 60% of time saved—you realize how much potential exists.
If you want to make things better, Trintech is a great partner to pursue.
Interviewer: Cheryl, any advice from an implementation standpoint?
Cheryl: Start now. Many companies wait until everything is “perfect” before beginning—but that day never comes. You can gain significant efficiency and visibility by starting from where you are and improving step by step.
Future Vision: Automating Journal Entries
Interviewer: What’s next in HCA Healthcare’s financial transformation journey?
Haley: We recently signed the statement of work to implement the Journal Entry solution of the Trintech platform —an ideal complement to the visibility and automation we’re already gaining through the reconciliation solution.
Our team books a large volume of journal entries using manual tracking. Moving this work into Trintech will introduce dramatically stronger controls, auditability, and governance, while eliminating the friction that comes with spreadsheets and manual workflows.
This next phase is really about closing the loop—expanding automation across the entire accounting lifecycle. It will make our processes more efficient, more reliable, and ultimately free our teams and our hospitals to focus on higher-value work.
