As the organization modernizes its finance technology with Workday, they have expanded their automation strategy by implementing Trintech’s Workday Connector and becoming an early adopter of Beacon, Trintech’s embedded AI assistant. The Challenge
Before implementing Trintech, the organization’s reconciliation process relied entirely on spreadsheets. Treasury staff manually downloaded bank transactions and ledger data, compared records in Excel, and investigated discrepancies by hand; a time-consuming process that became increasingly difficult as transaction volumes grew. “All of our reconciliations were done in Excel. The process was very manual, downloading all of the bank transactions into a CSV file and then downloading the ledger into a file and comparing them.”
The complexity extended beyond transaction volume. Financial data originated from multiple systems, each with different formats and structures, making reconciliation increasingly labor intensive. “In our industry, there’s a vast amount of data. You’ve got system data structured one way from your ERP and bank data structured differently.” As the organization grew, they needed a solution capable of scaling without requiring additional headcount.

Previously, ledger data was exported from Workday once a month before reconciliation work could begin. Today, ledger information is synchronized automatically every day, allowing transactions to be matched continuously instead of waiting until month-end.
That shift has transformed the close process. Rather than discovering issues after the accounting period ends, treasury analysts now identify missing or incorrect journal entries throughout the month, giving teams time to resolve problems before they affect financial close. “I’m able to catch errors and oversights before they become larger problems. If I see, ‘Oh, this entry didn’t get imputed and it should have,’ I can alert the necessary individual directly.”
With more transactions reconciled throughout the month, fewer exceptions remain at period-end, allowing the team to complete certifications faster and spend less time investigating discrepancies. “There’s more items matched up by the time the end of the month rolls around, and fewer exceptions to investigate since we’re catching errors sooner.”
Moving Towards Autonomous Finance with Trintech’s AI
IBuilding on its automation strategy, this leading health insurance provider became an early adopter of Trintech Beacon, piloting Trintech’s embedded AI capabilities as part of its broader AI initiative. Greater financial accuracy: Continuous access to current ledger information provides better visibility into cash activity and reduces month-end surprises. “It’s been really beneficial to have our ledger be more accurate.”
Growth without growing the team: Perhaps the greatest measure of success is scalability. Despite processing more than 10,000 transactions every month, the health insurance provider has continued supporting business growth without proportionally increasing treasury staff. “If our processes were performed solely in Excel with manual manipulation, there’s just no way. Our team would be five times larger than what we are today.”
Automation has also allowed the organization to absorb additional responsibilities over time without replacing every departing employee. “As people have retired or left the company, we’ve not needed to replace them. Trintech has allowed us to shift work.”
